User Terms for Rental Facilities

When you book facilities, you agree to the user terms below. If these terms are violated, the renter will be sanctioned as determined in the following list. AYY reserves the right to change these terms at any time.

User terms and sanctions

1. A checklist for the facility must be carefully completed on arrival.

• Violation of this term results in a €30 fine.

• Checklists for all facilities can be found at lomake.ayy.fi/tilat

2. The usage hours are not exceeded.

• Violation of this term results in a €50–150 fine. Repeated violation of this term will result in a user ban. (At Smökki, a night usage fee will be imposed on the renter if permission was not applied for in advance.)

• The facility must be empty and cleaned by the end of the rental period. 

3. When a private person rents a facility, they must be present at the facility throughout the event.

• Violation of this term results in a €100 fine. If this arrangement has been used to take advantage of a cheaper rental price category, the renter must also pay the difference between the rental prices.

4. The facility must be used in accordance with the law, regulations and good manners.

• Violation of this term results in a €100 sanction and a user ban. 

• Facility-specific terms must be followed; see Teekkari Village Rules and Regulations.

• The level of noise must remain reasonable throughout the event. 

• The use of the facility must not cause significant inconvenience to residents 

• The Castle Warden’s authority and judgment must be respected

5. Cold rooms and fridges must be kept on at all times.

• Switching the refrigeration devices off results in a €75 sanction.

6. Furnishings, movables and structures of the facility must be kept in impeccable condition. 

• Violation of this term results in a €100 sanction, in addition to which compensation must be paid for any damages. Violation of this term may also result in a user ban. 

• Any deficiencies in the facility’s condition must be reported on the checklist filled in at the beginning of the rental period.

• Smoking indoors is prohibited.

7. All waste must be sorted and taken to waste disposal containers when leaving the facility.

• Violation of this term results in a €50–100 sanction.

• Compostable and mixed waste must always be taken to separate containers. 

• Paper, cardboard, glass and metal waste must also be taken to appropriate containers. 

8. When leaving, the facility must be carefully cleaned and arranged.

• Violation of this term results in a €50–400 sanction, in addition to which the cleaning costs must be paid. Violation of this term may also result in a user ban. 

• Furnishings must be left in their own place and in good order.

• Tables and chairs must be wiped clean 

• All rubbish must be swept off the floor and other traces wiped off. 

• Toilets must be cleaned. 

• Kitchen must be cleaned and arranged. 

• All surfaces must be wiped clean.

• Dishes must be washed and left to dry.

• Ovens and refrigerators must be cleaned.

9. Rubbish must also be cleaned from the surroundings.

• Violation of this term results in a €50–400 sanction. 

• Applies to Smökki and Rantasauna, in particular.

10. When leaving, you must ensure that

• No one is left inside when you leave;

• Windows are closed and doors carefully locked;

• Lights and other electrical appliances (excluding refrigerators) are switched off. 

• Violation of this term results in a sanction of €50 or more, covering the resulting costs.

Renter’s other responsibilities

• If the renter orders the maintenance service unnecessarily, for example because they have neglected to read the instructions, the renter will be charged for the service visit.

• The keys to the facility must be returned the following day through the AYY Services Office letter box in Otaniemi (2^nd floor, white door) by 12 noon. Any unreturned keys are charged at €35 / key and, when necessary, the costs of changing the locks are added to this as well. 

• If anything is broken or damaged, please report this at [email protected]. 

• Sanctions may be imposed for multiple violations at a time, which are cumulated. 

• Each remark (i.e. imposed sanction) counts as a warning and is valid for 6 months. 

• A user ban will be imposed if the user receives a second sanction during the above-mentioned time period. 

• The user ban lasts for 6 months for associations (revision can be applied for) and 12 months for private persons. 

Remember the age limits!

At its meeting 15/2017, the AYY Board made the following temporary decision regarding rental facilities:

The renting of all rental facilities to a student organisation outside AYY requires the age of more than 20 years from both the renter and the person in charge of the event organised in the facility. The renter and/or person in charge must be prepared for proving their age when picking up the keys at the AYY service point. The keys will not be handed over to persons younger than this.

The renting of all rental facilities to other parties outside AYY requires the age of more than 25 years from both the renter and the person in charge of the event organised in the facility. The renter and/or person in charge must be prepared for proving their age when picking up the keys at the AYY service point. The keys will not be handed over to persons younger than this.

AYY has the right to cancel or change the booking in case of substantial restrictions, changes and other circumstances that are out of AYY’s control. Damages due to such circumstances will not be compensated. AYY also has a right to stop or cancel an event if it causes a significant disturbance and/or endangers general safety.
