AYY’s facility rental instructions have been updated

Due to the coronavirus and the safety of the community, the restrictions on the use of AYY’s rental facilities have been updated. All facilities are subject to capacity restrictions based on the size of the facility.

Precautions and restrictions caused by the COVID-19 have had many implications for the organisation of events and the use of facilities. Due to the coronavirus and the safety of the community, the restrictions on the use of AYY’s rental facilities have been updated.  

All facilities are subject to capacity restrictions based on the size of the facility. It is prohibited to organise events for more than 50 people in all facilities. In many facilities, the specific number of users based on social distancing is less than 50. 

Facility booking steps: :

  1. Necessity of the event and the genuine need for space 
    Before making the reservation, please carefully consider whether it is possible to hold the event remotely or outdoors. Read more about how to organise safe events
     
  2. Restrictions on the number of people in the facilities  
    If you want to book AYY’s facilities, please note that all facilities are subject to restrictions on the number of people determined by the size of the facility. You can see the maximum number of participants allowed in the facilities in the table below. The figures take into account both social distancing due to COVID-19 and the maximum number of users according to fire safety, which is always valid. Violation of the rule will result in a sanction. These restrictions are valid until further notice.  
     
  3. Commit to event safety guidelines 14 days in advance  
    When you book any facility in the TILA system, you will fill in a form, by which the event organiser agrees to comply with the restriction on the number of people and to plan event safety. More detailed instructions can be found in the form. If the organiser does not commit to follow the guidelines, the reservation cannot be accepted, and no keys/access code will be given to facilities.   
  4. More flexible cancellation policy 
    Currently, shorter cancellation policy applies for rental facilities. You can cancel your reservation for free no later than three (3) days before the event. A fee of EUR 30 will be charged for bookings cancelled less than 3 days before the event. 

  5. Organiser is always responsible for the safety of participants 
    AYY requires commitment to the maximum number of people and the planning and implementation of event safety. However, safety measures and their adequacy are determined by the organiser. Please inform AYY if there are no instructions in the facilities regarding hand hygiene and social distancing. Please read  AYY’s and Aalto’s instructions for event organisers.

The maximum number of participants impacts the use of some facilities; therefore the pricing has been temporarily changed for a few facilities. The new prices are valid during the restrictions on the number of participants. You can find the price list here.

Aalto University Student Union preventing the spread of coronavirus – changes to opening hours and events

AYY follows the instructions of the Finnish Government and the Finnish Institute for Health and Welfare (THL) to prevent infections. The release will be updated when new measures are introduced. AYY actively follows government releases and considers the health and well-being of its members, volunteers, associations, and employees in all its actions. AYY will start opening some of its operations in a controlled manner from 1 June onwards.
